How are documents indexed?
Documents are indexed based upon customized criteria set by you.  You may have:

  • Manual entry of up to 8 or more index fields. Many more than a typical paper filing allows you to use!

  • Verification of critical index fields can be used for almost perfect accuracy. 

  • Full Text indexing. Using an OCR (Optical Character Recognition) method we create a text file of your complete image through PeriCapture. This allows the user to find any word (or part of a word ) that occurs in a document! In other words, using this technique you can search for document images by their content.

What is scanning software?
Scanning software is a tool which enables the computer to take a digital image (or picture) of the document in question.  This software identifies contrasts in shading, clarity, contrast and brightness enabling the hardware to make appropriate adjustments during processing to ensure the most crisp image display possible. PeriCapture, PeriDoc and PeriForm are just some of the examples that can provide this service depending on your requirements.

Do you offer a searchable database of my documents?
Absolutely!  You may search by either having your documents OCR'd (Optical Character Recognition)  through our PeriCapture  or PeriForm whereby each word becomes the "index" allowing you to search by keyword or part of a keyword or you may have the document manually indexed based using customized criteria.  An example of this would be "file name" (company ), "invoice number", "date", etc..  This enables you to search your database with ease and confidence.  Your newly developed database can be integrated into PeriFlow or PeriDoc procedures.

How can I capture, index and store documents in paper from without having to worry about security?
It is easy. PeriDoc allows you to capture, index and store documentsnot just in paper form, but also offers multiple-user access to file and search cabinets in seconds and even make document annotation with overlay techniques (while not changing the document). And the documents are protected from unwanted manipulation as well as multiple user-access to file cabinets. It meets even the most stringent security standards!

Do you OCR documents and convert them to MS Word format? What is the accuracy?
PeriCapture and PeriForm  do offer simple easy-to-use paper document conversion to editable file formats such as word processing files, commonly called OCR or Optical Character Recognition. Accuracy is entirely dependent on the quality of the original. Our modules have an average of 95-99% accuracy rate.

What type of processing do the images undergo?
Images can be de-skewed, despeckled, rotated, mirrored, background colors dropped, borders trimmed or removed. PeriDoc also  provides intelligent filtering which will actually enhance image characters prior to Optical Character Recognition. We can also provide zone extraction for signature extraction or other sub-image requirements. On top of that , PeriDoc has an integrated MAPI interface, integrated FAX function and ad-hoc workflow ability and allows the search for documents in a file cabinet in a matter of seconds.
