The Challenge

Within the Total Support & Services Group is the claims and expenses department which handles all vehicle accident reports, insurance claims investigation, accident claims surveying reports, preliminary reports, accident investigation & reconstruction details, claims settlement and other documents such as police reports. Given the nature of claims and insurance operations, it is essential that all incoming and generated paperwork are accurately documented and digitized for future retrieval and reference purposes. As the amount of insurance claims, paperwork and filing work continue to increase, it became clear to the department it needed a more robust system to cope with the increasing amount of claims and expenses paperwork, as well as, a system that can reconcile different paper types and sizes. The Canon DR-2010C and DR-5010C document scanners were eventually identified to meet this need.

The Solution
 

With the new Canon DR-2010C desktop scanner, scanning of mixed batches of colored and black & white documents becomes a lot easier as the scanner is equipped with Automatic Color Detection for easy detection. This mode eliminates the need of the staff to separate black-and-white and color documents prior to scanning thus improving the productivity and efficiency of document archival process. The portability and user-friendly functions of DR-2010C also meant that the scanner can be relocated to multiple stations with minimal fuss. On top of that, users are able scan unsorted batches of new insurance case files with ease using efficiency-boosting image processing functions such as Automatic Page Size Detection and Skip Blank Page. Thus all case files for claims officers are scanned and processed promptly, reducing paper turnaround time.

With the Canon DR-5010C document scanner, stored documents from older claims and expense files, are scanned at a speed of 50ppm/100ipm, shortening the time of huge file transfers from scanner to PC. The readability of difficult-to-scan documents, such as those with double-sided, light colored text or patterned backgrounds (eg. police reports) is also improved. This allows essential information up to A3 size to be accurately captured digitally.
