The Challenge
As
a premium integrated surgery practice in Asia, it is important
that all patients documentation,
primarily
involving documents critical to patients health records are maintained
efficiently. Amongst the documents to be
manually filed daily were patient case notes, medical
records, doctor’s reports, operation records, laboratory
records, radiological investigations, email and correspondence, consent forms,
prescriptions and other miscellaneous items. As the Practice has achieved rapid growth over the
years, so has the ever-increasing volume of patient
records. Previously, a multi function system was used to scan
and archive paper work. This was both slow and time
consuming. In addition, a partially formatting and paper feeder
system, with slow scanning speed of the former system
also contributed to teething problems. To
improve the way medical patients records were being managed and
documented, and to sustain excellent customer service
through proper document storage and retrieval, the IT
team at Susan Lim Surgery sought a technology solution to
create
a highly efficient and centralized process for managing physical
records, minimizing paper requirements, speed conversion,
saving space, and enabling the creation of a digital archive. Canon
DR5010C document scanner was decided upon after evaluating
several options
The Solution
Using
the new Canon DR5010C document scanner, documents are now scanned
double sided at 100 images per minutes for batch scanning and
saved directly in PDF format. The High Speed Text
Enhancement mode of the scanner also increases image processing
time and enhances text from low contrast images ensuring that
every single detail such as laboratory reports, or notations
made by doctors in their reports are captured. The
Ultrasonic Double Feed Detection feature also
prevents any lost images and ensures that every page of even
large batches of documents of various paper types/ sizes and
thicknesses from patient’s files are completely scanned. File
sizes have also been reduced, thanks to lower dpi scans, and
processing time slashed. “By creating a
comprehensive electronic repository of patient information from
the outset," said Dr. Susan Lim,

information that previously took time to retrieve can now be
accessed within seconds, eliminating potential errors and
improving overall patient care.”
