The Challenge

As a company totally
committed to continuous improvement, AEM-Evertech
focuses on continuous training to all employees, maintain
and improve a systematic and documented quality assurance system,
and improve all work processes through quality consciousness. The
company’s Document Control Division is the key department that is
instrumental in ensuring that documentation of their equipment/
systems drawings, design, specification, project details, customer
information and various versions of their products are kept in a
systemic manner and the integrity of the documents are kept intact.
Housed in a 3,000 square feet warehouse, the documents are
neatly compiled in alphabetical sequence. The accumulation of vast
amount of documents over the years eventually takes up enormous
space, and retrieval of old reports occasionally proved to be a
challenge. Staff members sometimes have to lug huge, heavy boxes
back to the office from the warehouse when multiple documents were
called for. An area of concern was the possibility of fire hazard
given the amount of paper documents being kept.
The Solution
In order to improve the work flow and processes in the documentation
processes,
AEM-Evertech decided to review the way the document management was
being handled. Pericom Imaging (S) Pte Ltd introduced Canon’s
DR7080 and PeriDoc
by Docuware software to streamline the workflow
process and turn it into an eventual paperless environment. Using
Canon’s DR7080C document scanner,
all newly compiled projects
details are scanned double
sided at
140 images
per minute
for
batch
scanning.
Every single detail
and whole images was
captured and auto-indexed accordingly. The documents are then filed
via PeriDoc, which replaces the physical cabinets and the use of
warehouse space. Documents are rapidly retrieved and displayed on a
mouse click which speeds up the information flow in the company.
Authorized personnel can
immediately check the status of a project
and cut processing time using the virtual filing cabinet. “By
automating the capturing, filing and retrieval processes , AEM-Evertech
reduced the time required to process document requests drastically
and the result is a much more streamlined, faster, cost effective
data retrieval with high data accuracy and integrity.” said, Ms
